Information is a critical component in an organization that requires special handling. Various measures are taken to secure it as needed and to make it available where and when it is required. A solid strategy is required to guide operations in complex systems like those in a government document management workflow.

Security is a critical issue not only to physical objects but to sensitive information as well. A good information system is expected to restrict access only to authorized people and no one else. Proper monitoring is necessary to help point out weaknesses in the system. Use of technology can reduce the workload needed to monitor different processes and get results faster and more easily.

Although maintaining tight security is necessary, it should not block the smooth flow of data. Convenience is important for an organization to operate as expected. Creating proper access mechanisms promotes efficiency which in turn raises productivity. Each process in the organization has to flow as expected without any hindrance from other stages for efficiency to be realized.

Technology is effective when used to store information in a cost-effective way because it requires only a small space to make it possible. Physical documents require a lot of manpower and other resources such as boxes, cabinets, racks, among others to store and process. It takes more people to manage many documents than it would take to handle digital information.

A well-structured data flow saves not only on costs but time as well. Searching through physical documents is not easy and can take a long time to carry out. Digital storage reduces this workload and makes it possible to retrieve information quickly. With proper indexing, each record is identifiable and also makes it possible to make copies of the information for other purposes.

In case something major happens and an information management system is damaged, operations are likely to be affected or even stopped. Physical documents are more likely to be affected in a way that is harder to recover. Digital information is not so sensitive to calamities if disaster preparedness is in place. Making copies and restoring data from such copies is possible and quick to do.

Managing different kinds of data is an important process in many organizations. It makes many critical processes to run smoothly when managed properly. Digital processing and storage systems simplify the work required in managing information. Physically storing information in paper form is harder to operate due to the additional work that is needed.
